Per vehicle agreement, separate from the initial rental and monthly payments. This is the total administration fee, including any applicable VAT.
Non-refundable once the agreed administration service has been fully provided, except where a cancellation, refund or other legal right applies. Starting work or placing an order does not automatically remove those rights.
Read the cancellation and refund conditions belowWho charges the fee?
The fee is charged by HQ Sourcing Ltd, trading as Nationwide Motor Leasing. We act as a credit broker, not a lender. The fee pays for our agreed administration and arrangement service; it is not a lender approval fee and does not guarantee finance acceptance, vehicle availability or a delivery date.
What does it cover?
Depending on your agreed order, our administration service can include:
- Checking your requested vehicle, specification and lease requirements.
- Coordinating a quotation and liaising with the vehicle supplier and finance provider.
- Processing the information and documents needed to progress your authorised order.
- Managing order correspondence and coordinating delivery arrangements with the relevant parties.
The work agreed for your order will be explained before you commit. The fee is not a refundable vehicle deposit and is not credited against the rentals. It does not include insurance, fuel, charging, maintenance or any lender charges unless expressly stated in your written quotation. Any third-party commission is separate: see our commission disclosure.
When is it payable?
The £499 fee, including VAT, is payable when you authorise the vehicle order. There is no charge simply to browse this website or send an enquiry. Before you authorise the order, we will give you the fee amount, the work covered, payment method and cancellation information in writing. You must agree to these before payment or chargeable work begins. Submitting a quote request is not a payment instruction or an agreement to waive cancellation rights.
The £499 fee applies to new quotations from 18 September 2026. It does not retrospectively change a fee already agreed in writing. Your written quotation should show this fee separately from the initial rental, monthly rentals and any other charges.
Non-refundable fee: what this means
Once we have fully provided the agreed administration service, the fee is normally non-refundable if you subsequently change your mind, subject to the rights below. If you cancel before completion, we will assess the work actually authorised and supplied and any refund due. We will not automatically retain the whole fee merely because work has started, finance has been approved or an order has been placed.
Any amount retained must be permitted by law, fair and proportionate; it cannot be an automatic penalty. We will explain the basis of any deduction. If no chargeable work has been provided, or we cannot provide the agreed service, we will assess and make the refund required by law. This policy does not exclude remedies for a service not provided as agreed or with reasonable care and skill.
Your cancellation and refund rights
- Distance credit-broking contracts: where the applicable rules give you a 14-day cancellation period, you can cancel within that period. We will provide the relevant start date and instructions with your agreement. If you expressly request work during that period, only a lawful, proportionate charge for services actually supplied may be retained. Full performance affects cancellation rights only where the applicable legal conditions, including required express consent, are met.
- Broker-fee refunds: where section 155 of the Consumer Credit Act 1974 applies and no relevant agreement is entered into within six months of our introduction, you are entitled to a refund of the brokerage fee less £5. We will not make you wait six months where we know, or ought to know, that a qualifying agreement will not be entered into.
- Separate agreements: cancelling our administration service and cancelling a vehicle order or finance agreement are different matters. Your rights under the lender’s or supplier’s agreement are explained separately. They are not removed by this disclosure.
Your rights depend on the type of agreement and whether you are acting as a consumer or a business. Nothing on this page overrides statutory rights. Read the FCA’s information on credit-broking fees and government guidance on fair contract terms.
How to cancel or ask for a refund
Email sales@nationwidemotorco.co.uk, call 08000 699 690, or write to HQ Sourcing Ltd, Star Ironworks, Greenacres Road, Oldham, OL4 2BT. Give your name, order or quotation reference and the request you wish to make. You do not need to quote legislation or give a reason to exercise a statutory cancellation right.
We will respond promptly, explain any permitted deduction and make any refund within the applicable legal deadline. For distance credit-broking cancellation refunds, this is without undue delay and within 30 calendar days. If you are dissatisfied, use our complaints procedure. This does not prevent you exercising other legal rights.
